Studio Coordinator


As Studio Coordinator in our New York studio, you are primarily responsible for coordinating and delivering a first-class in-studio employee experience including being the friendly face for all AREA 17’s visitors, whether these are clients, the mailman or candidates. Key Responsibilities

As a Studio Coordinator, your responsibilities are divided in three segments: Studio Operations, People Operations and Executive Assistant to Leadership. Your main responsibilities lie within Studio Operations. In addition to managing facilities of our studio and running daily office operations, you work closely with the rest of the Operations team and Leadership in providing a top-notch experience for our employees, candidates and guests.

1. Studio Operations

This being your main area of focus, you are working closely with the Operations Manager, and other Operations team members where needed, in maintaining a professional, fun, functional and safe studio environment.

This includes the following responsibilities:

  • Ensure studio is fully stocked with all necessary supplies to do work (kitchen, office, electronics)
  • Keep track of our vendor schedule – including routine maintenance and repairs such as IT, cleaners, garbage removal, exterminators, and when necessary, building management.
  • Perform reception duties by greeting and assisting guests, sorting mail, answering the main phone line and sorting generic inbound emails.
  • Administer and track company property including software accounts, company property (keys, access codes, desks, computers)
  • Perform IT support and troubleshooting including Internet connectivity, Printer, audiovisual equipment
  • Book client and cross-office travel. Ensure budget parameters and expense policies are followed as directed by Finance and Leadership.
  • Follow requisition procedure as directed by Finance team including approvals and budgeting
  • Research vendors or services that would improve office operations as directed.
  • Coordinating team building activities, recognition programs, happy hours, and inhouse events.

2. People Operations (HR & Recruitment)

As Studio Coordinator, you support the People Operations Director with delivering a great experience for both candidates, new joiners and current employees alike. You are a key point of contact for both candidates and employees and have an intrinsic motivation to create a great workplace.

This includes the following responsibilities:

  • You navigate different calendars and conflicting timeslots as you organize and schedule interviews for the hiring team and the candidate
  • You are the welcoming face of AREA 17 for candidates. You make sure they feel welcome and at ease going into their interviews
  • You research and help prepare recruitment events, both in-studio and externally
  • You support and help out with any ad hoc recruitment tasks, like preparing scorecards, updating profiles, drafting briefings for the team and staying in touch with candidates and the hiring team
  • You assist with HR-related matters, like preparing documentation, researching benefit options and sending out surveys
  • Together with the Operations Manager and Discipline leads, you help prepare the onboarding experience for a new joiner
  • Provide support as needed for candidate and internal communications.

3. Executive Assistance for Senior Leadership

You support a productive executive team through proactive operational management and executive assistance.

This includes the following responsibilities:

  • With each leadership team member, identify workflow for scheduling and task management, for example:
    • Proactive read-out of upcoming conflicts
    • Resolve scheduling conflicts
    • Provide an executive summary of priority items for weekly or daily execution
  • Offer personal assistance as needed (expense reporting, lost property, opening and sorting mail, IT, booking travel, etc)
